Zoho Suite Gaining Muscle

If you follow the online productivity / collaboration market, you’ve probably noticed that Zoho, the company that earned their fame releasing new products at breakneck speed is slowing down. But are they, really?

I think they are just going through adolescence – you know, the stage when you can grow muscles fast. smile_wink They’ve been silently updating several of their products in the past months. Today’s Writer update includes support for pagination, headers, footers and spell checking in 43 (!) languages. Incidentally, some of these are the very features the Burton group listed as missing from Google Apps in their recent report titled “Google Apps in the Enterprise: A Promotion-Enhancing or Career-Limiting Move for Enterprise Architects?” The original report is 55 pages long, but here’s the InfoWorld summary:

Microsoft Office has a huge lead in features over Google Apps, the Burton Group says, giving these examples:

— Documents: “Google Docs does not support a table of contents, headers, footers, automatic creation of footnotes or end notes.” …

Although the Burton report focused specifically on GAPE (Google Apps Premier Edition), it could be construed as criticism of the the web office market in general. Well, with today’s updates Zoho Writer meets all the Burton Group “requirements”. In fact, Zoho delivers most of what the Burton study considered missing features outside Documents, in the areas of spreadsheet(Sheet), presentation (Show), custom business applications (Zoho DB & Creator) , web conferencing (Zoho Meeting), and wikis (Zoho Wiki).

Several of the above services received updates in the past month – sometimes announced, other times silently appearing, without further ado. In fact that’s an obvious benefit of using web applications: the enhancements are simply available, without the need to apply annoying patches (I could go on listing failed client-side updates from Microsoft, Macromedia, Adobe.. you name it). Zoho CEO Sridhar Vembu explained his views on updates vs. new products recently. He is obsessed about eventually delivering the “perfect” web applications that fully stand up to Microsoft Office, and recognizes the limitations these services have today.

Frankly, I think he is a perfectionistsmile_wink and perhaps would not even need to go all the way…after all, the point in web applications isn’t simply to replicate the offline experience. Moving applications to the web opens new dimensions, namely mobility and easy, native collaboration. Today’s Writer updates are important, because in our legacy world the challenger is measured against the standards of the incumbent. But Microsoft Office was created at a time when the purpose of document creation was to eventually print it. In the 90’s we thought we’d reach the dream of “paperless office” only to see paper-consumption grow dramatically. (Secretary prints email, faxes it to boss, who makes hand notations, faxes it back for secretary to type again…smile_angry). Today, in the age of better online collaboration (that you can NOT manage on paper) and ergonomic large screens, who prints anymore?

So while I recognize the importance of layout-oriented features (user acceptance), the real value to me is in real-time collaboration (co-editing), version control and restore, embedded chat, web-conferencing, linking, linking and linking – the things that make web documents live. On a side-note, this is why I am surprised that the latest Web Word Processor entrant, Buzzword, beautiful as it is, does not support entering URL’s and real-time co-editing: those omissions defeat the purpose of being on the web.

By the same logic I find Box.net’s Openbox a significant move: it allows to store one’s files online, while making it really easy to use a range of services, initially including Autodesk, Echosign, eFax, Myxer, Picnik, Scribd, Snipshot, Thinkfree, Twitter, Zazzle and Zoho on those files. There will be users who prefer the All-in-one concept, and they will likely settle on Google (bigger brand) or Zoho (more and better apps), but others will prefer picking their individual services, and for those Openbox is a good platform. Choice is good.

Desktopized Web-Applications are a Great Convenience

Mozilla Lab’s Prism, which allows you to ‘desktopize’ your web applications – i.e. represent them by a desktop icon and run them in their own window – is generally well received, so I’m really surprised at Josh Catone’s assessment on Read/WriteWeb (one of my favorite sites):

Except for the minor convenience of running oft-used web apps in their own dedicated window and making them accessible via a desktop icon, Prism isn’t really all that exciting in its current form. It doesn’t offer much of a benefit over bookmarks and your current browser window.

Sure, offline access will be great, when it’s here… but don’t underestimate the importance of users’ convenience, Josh!

I love the fact that about the only program need to launch is FireFox – but I often find the browser too restricting. Now that large LCD’s are getting less expensive, more and more of us find ourselves working on 24″, 32″ ..etc screens – the browser does not allow smart use of all that real-estate. For example I like to use different window sizes for different (web) apps, and often want side-by-side windows, which I could not get using FireFox tabs. Launching another browser session was a rather resource-wasting workaround.

I’ve been using Zoho Writer, Sheet and Show in a desktopized form for almost a year now (literally, since the tool Zoho uses is called “desktopize”). The pic to the right shows part of my desktop, with 3 Zoho icons. They all pop up in my pre-set window size and position, and disappear to the system tray, even if I close my main browser session.

If this “convenience feature” becomes more mainstream, with Mozilla, Adobe and whoever else backing it, I believe it will lead to increased migration to Web applications, so I’m all for it.

Gmail IMAP and Microsoft’s Desktop Push

You’ll have to appreciate the irony of this TechMeme screenshot:

Microsoft’s Jeff Raiker defended desktop applications, mocking of Google for “backtrack(ing) on what we’ve been saying and to offer things like Gears in order to be able to be offline and or take advantage of global computing power”, reports Infoworld.

As if to support Raiker’s statement, just minutes earlier the hot item on TechMeme was Google’s Gmail offering IMAP. Yes, it’s there, if you don’t see it in your gmail account, log out and come back again.

Unlike POP access, which is basically a dumb download, IMAP synchronizes your mail folders (not just the Inbox) with your online account, and your read/unread status..etc are maintained both in the desktop client and online. In fact IMAP is an easy way to sync several desktop clients on multiple machines. (Note: Gmail does not have folders, but I assume labels would take their place – assume only, since I no longer use desktop email software)

Where’s the irony here? IMAP is clearly beneficial only if you use a desktop email client* with your gmail account, which is exactly Raiker’s point. And a bit of a personal irony: for over a decade I was a faithful Outlook user, mocking my friends who used web-based email (typically Yahoo) for their personal accounts. How could they live with such a dumb, slow service?

Well, times change: Outlook grew fat and slow, it needs a cornucopia of software fighting for CPU and memory: virus scanner, desktop search (Copernic), backup (Mozy), sync with other desktops (Foldershare), and who knows what else, all of which need updates that tend to fail … what a nightmare! I ditched the desktop and have never been more productive! I’m using Gmail natively, on the Web, and am quite happy with it, so IMAP means nothing to me. (Apparently I’m not alone, as evidenced by the 5-600 readers my client to Gmail migration guide written half a year ago is still getting every day). For all other productivity needs I use the Zoho Suite. Incidentally, little birdies are singing that Zoho Writer will soon have offline edit capabilitiessmile_wink.

Seamless online/offline computing, as it should be.

*Update (10/24). This post was my quick first reaction late last night, when the news first hit (in fact before it became official news). As Marc Orchant correctly points out, IMAP may very well be useful even if you don’t use a desktop email client, as it makes it really easy to use the client software on your mobile devices, and still have a sync’d Gmail on the Web.

Zonbu, a $99 Green PC that will Cost You $249

Considering how many things did not work out-of-the box on my new Vista PC, HP’s slogan of : “the Computer is Personal Again” is really an insult. And don’t even get me started on Vista, it’s really for IT professionals, not mere mortals.

So of course I got excited reading Fake Steve Jobs (will Daniel Lyons ever be referred to by his own name?) article in Forbes:

Personal computers were supposed to make our lives easier. Instead, these beasts have turned us all into part-time IT administrators, our lives given over to downloading upgrades, installing patches and updates and drivers and antispyware, decrypting error messages and screaming at stalled applications. Enough!”

He is blown away after a week’s use of Zonbu, a $99 Linux-based “green” PC alternative. From Zonbu’s specs:

Zonbu is a compact, ultra low power mini with all the bells and whistles:

  • Intel-compatible ultra-low power CPU
  • 512 MB RAM + 4GB flash-based local storage
  • Graphics up to 2048 x 1536 (16 million colors, 75 Hz). Hardware graphics and MPEG2 acceleration
  • PC-compatible ports for keyboard and mouse
  • 6 USB ports to plug-and-play all standard USB accessories
  • Broadband ready: 10/100 Mbps Ethernet built-in

It comes with a set of pre-loaded applications, all auto-updated with a subscription service. PC as a Service? Well, not quite. Although it’s heralded as a “cloud computing” device, it’s really a hybrid, with client-side apps for office productivity, personal finance management, multimedia, photo management..etc. And therein lies the rub – once you start using client applications, your needs will grow, you will hit the limits of the low-end hardware:

“I also found some videos that wouldn’t play on the system, and high-def videos (720p or larger) from Apple’s QuickTime HD Gallery don’t play acceptably because the Via processor in the Zonbu just isn’t fast enough.”

Of course with local apps your storage requirements will also grow, but you only have a 4G flash-drive, so you will likely upgrade to one of the premium storage/synchronization plans. The lowest plan gives you 25GB of storage at $12.95 a month, but it comes with a 2-year commitment. Let’s do the math, $99+ 24*$12.95= $409.80. Your $99 machine is now a $400 unit, payable upfront – and you still need a display and keyboard/mouse. You can get your device without the 2-year commitment (a’ la cell-phones), but then the base price is $249, and you will still likely pay for the monthly storage – what can you do with 2G of storage, after all?

Actually, a whole lot, if you really embrace cloud computing. There are good and mostly free online applications to match the capabilities of the pre-loaded Zonbu apps, and being online, they don’t even have to be updated. (They do, but it’s no longer the users’ problem which is the beauty of Software as a Service.)

Zonbu could have been a nice, inexpensive cloud computing machine Cloudbook – the problem is with the price point and the bundling of subscriptions that offers far less than what you already may have independently. A truly $99 web-computing device would be a major hit, but at current costs it does not seem to be feasible. Will the mobile industry’s service-plan subsidized model prevail here? After all, that’s what Zonbu attempts, it just does not have the right value/price mix.

I suspect cloud computing users will primarily want to select the applications they need, and what box gets them there will become secondary. But I don’t expect online app providers like Google or Zoho to bundle Zonbu-like devices with their business-level subscription plans anytime soon. This is where the analogy to the mobile industry ends: there is a huge installed base of older PC’s and as soon as you abandon the old model of desktop-based computing, these old machine became quite capable devices to handle your online computing needs.

Zonbu is a nice device without a business model for now.

Zoho DB for Data Manipulation & Reporting

Impeccable timing: just days after Computerworld named Zoho Creator one of five web apps they can’t live without, Zoho DB is released today. While Creator is an application generator, DB is primarily for data manipulation, analysis and reporting. You can create a new database or import your dataset from an existing spreadsheet, be it Zoho’s own Sheet or MS Excel. The UI is instantly familiar, as it reminds us of a spreadsheet, but one with drag-and-drop goodness, allowing the user to easily analyse data, create charts, reports, which, as typical with Zoho apps you can embed in your web page or blog, and of course other Zoho Apps.

Fur deeper analysis you can create Pivot Tables with simple drag & drop. Zoho DB Supports Query Tables – tables created based on a select query from a different table. It understands queries in many SQL dialects: Oracle, SQL Server, DB2, Sybase, MySQL, PostgreSQL, Informix and ANSI SQL. This sets Zoho DB apart from the rest of the industry, and it’s made possible by leveraging another Adventnet (Zoho’s parent) product: SwisSQL. In the near future it will also allow users to import and export database schemas.

The best way to get a feel for the capabilities is to watch the video introduction, then get your hands “dirty” by diving into Zoho DB yourself.

Some of Zoho DB’s features will soon be available in Zoho’s spreadsheet application giving users a choice where they analyze their data – and of course you will be able to access the same data via applications built with Zoho Creator.

Attendees at the recent Wiki: Beauty & Beast event heard Zoho’s Raju Vegesna talk about how eventually Word processors like Zoho Writer and Wikis should morph into each other. This may sound off-topic, but it’s another hint to Zoho’s philosophy of allowing users access their data via their application of choice, no matter which other application they used to create it. It’s all about the (work) flow, not data formats.:-)

Wiki: the Beauty & the Beast. Usability & Functionality (Event)

Silicon Valley Web Builder will host a wiki-focused event tomorrow, Wednesday. While their first wiki event almost a year ago with JotSpot, Socialtext , Atlassian and WetPaint was more introductory, this time the focus will be on – surprise! – the contrast or harmony of Beauty- i.e. attractive UI, vs. the Beast – functional robustness.

The Moderator for tomorrow is Luke Wroblewski, Yahoo’s design guru who has authored a book on Web interface design principles titled “Site-Seeing: A Visual Approach to Web Usability” and is working on thee next one: “Web Form Design Best Practices”.

It’s definitely an interesting mix. Playing a bit with the metaphor, I’d say market leader Atlassian is known as the “beast”: whatever enterprise wiki functionality you can think of, their Confluence will likely have it.

Wetpaint got popular for the “beauty” – that’s why I called it the wiki-less wiki. It’s a most user-friendly self-publishing tool that allows anyone to create a site and transform it into an online community. Incidentally, the SV Web Builder site is built on Wetpaint.

Brainkeeper, a user-friendly enterprise wiki startup took me by surprise when they launched in January. Totally out of left field, they aim to be the beast like Confluence and the beauty like Wetpaint, with twists not seen in wikis, like workflow. I’m really looking forward to seeing how far they’ve got since launch.

MindTouch is transforming the Wiki from the Web’s best collaborative authoring tool into an open source service platform with a Wiki heart. Their Deki Wiki Hayes release is perhaps the most extendable Wiki tool available today.” I had to steal that line from Read/WriteWeb, I couldn’t have said it any bettr – oh, and congrat’s on reaching the 100,000 user mark!

Zoho is not a pure-play wiki player. Their wiki is just a part of a productivity/collaboration suite, and it shows. Beauty? The UI needs improvement, but this is the only wiki with not just simple a WYSIWYG editor, but a full word processor that writes true html, not wiki syntax. Beast? I think the emphasis here will not be on the standalone product, but how well it integrates with other Zoho offerings, supporting a flow-oriented world that matches how we think.

Would You Like Your Spreadsheet in French? German? Chinese? Japanese? Any Language?

Zoho Sheet is currently translated to 13 languages, although I hesitate to write thirteen, by the time you read this post, the number may jump:

If it jumps, it won’t be because Zoho has an army of translators busy typing away… nothing beats the wisdom of the crowds. Yes, Zoho outsourced crowdsourced the translation to their users: you and me. Would you like a to use an online spreadsheet in your language? Take a stab at it.

Anyone can pick the language of their choice and contribute translation in one of two modes. Power mode is nothing to write home about: a table where all all English messages are listed and you can write the translation right in the next field. Simple and efficient. Yet if I were to start translating, not being a power spreadsheet user, I would probably prefer to see the messages in context.
That’s where the WYSIWYG mode helps: you can use the live Zoho Sheet UI, and be guided by colored highlights as you translate different parts of the spreadsheet. (Note: if you’re reading this in a feed reader that does not display embedded graphics, please click through to the blog post, or you’re miss most of it).



The translation tool is not a mock-up, it’s the actual, fully functional spreadsheet (but don’t save your private data there). The wisdom of the crowd does not lack QA though: once a language’s translation progress reaches 80%, the Zoho team verifies it and makes it available to all spreadsheet users.

You can keep track of progress here: currently the Japanese version is most complete with 97.77%, followed by Simplified Chinese (92.15%), then Russian and Spanish at 91.20%. The lowest one is Hungarian, at 0.11% – it looks like someone just started it. I have no idea who it was… smile_wink

Update (9/14): Wow, never underestimate the power of users! smile_wink A day later, my measly contribution of one single word to the Hungarian version grew to 13.62%. Even more impressive is what some Romanian users achieved: they requested Romanian added to the list in a comment yesterday; next thing I read today was this blog post – I don’t understand a single word, but the table shows 33.94% readiness, and finally, by the time I clicked through to check it myself, Romanian is up to 84.04%. Congratulations, you’re very close to having your own version!

Office 2.0: Zoho Announces Business Edition

When Zoho introduced their first Web application a year and a half ago, they were little known, and nobody cared about their business model. But then something unusual happened: they kept on pumping out new applications every few weeks or so, and soon became the #2 (or by some count #1) force in the Web application space. While some of their competitors went out of business, others got acquired, others charge for their offering, Zoho continues to offer their services for free. Needless to say the business model comes up a lot more often nowadays.

Zoho CEO Sridhar Vembu made it clear he is in for a Marathon, not a sprint, and he knows what he’s talking about: in the past decade he has already built a solid, profitable company, Adventnet, whose financial stability allows him to play in the SaaS market. He pledged to always offer most of his products free to individuals, yet he hinted there would be a revenue-generating business version of Zoho Services some day. But his priority was to build a solid set of services first, without having to rush to revenue. Until recently the emphasis was on perfecting the individual products (15 of them), and in the past few months Zoho started to focus on integrating them. Zoho Notebook, although in “individual” product, was a major milestone as it tightly integrated several other offerings: document editing, presentations, spreadsheets, communication, collaboration. The recently announced Zoho Start page was the first step in pulling several existing products together in a home base.

As a next logical step, this morning at the Office 2.0 Conference Zoho Business Edition will be introduced. The next two slides will help understand the segmentation between Zoho Personal and Business editions.

Personal is essentially the already existing set of services, with a few (those with gray background) additional ones still in private beta: Mail, Calendar, Tasks, Contacts. It’s interesting to note that these “new” services have already been on the Zoho palette for quite a while, but they were offered as part of Zoho Virtual Office, a downloadable Outlook-like product – they are now being rearchitected as a Web service. All of these services are, and continue to be offered free. The services in the right box, Meeting, Projects, Creator and CRM also have a free level, but they will have a premium, for-free version as well.

The next slide shows Zoho Business, essentially the same as Personal, with an added infrastructure layer added to manage ones domains, locations, users, groups, and also offering multiple levels of security, backup and enhanced support. Zoho Business is currently in private beta.

Despite recent speculation, this is not Zoho’s entrance to the Enterprise market.

Zoho Business is primarily meant for the SMB / SME segment (small businesses). That is not to say that the core Zoho applications would not be “enterprise ready” (they have large corporate accounts in Japan), but it’s not what they focus on for now. Anyone who follows Zoho will know that they are obsessed with cutting out fat: it’s a lean, efficient operation. The last thing Sridhar wants is to hire an expensive sales force, which is still the way to enter the Enterprise. Case in point: mighty Google themselves- I’ve shared my impressions of a Google Enterprise presentation, where I felt I was teleported to an Oracle or IBM Sales Show from the 90’s. Let them be the evangelists, and wait for the currently SMB services emerge in the Enterprise.

Is Your Online Content Really Yours?

Industry Analyst and fellow Enterprise Irregular Josh Greenbaum had a shocking discovery:

…the Terms of Service posted on the Google Docs and Spreadsheets site assigns content rights of anything saved on Doc and Spreadsheets to Google. It’s almost too incredible to believe, so here’s the wording from the mighty Google maw itself:

“… you grant Google a worldwide, non-exclusive, royalty-free license to reproduce, adapt, modify, publish and distribute such Content on Google services for the purpose of displaying, distributing and promoting Google services…”

His conclusion:

I’ve said it before – Google is the new evil empire – but now I really am beginning to believe it. I know that user agreements are typically ignored by most users, but anyone in the corporate world who ignores this risks seeing their IP in a Google marketing campaign, or worse.

All I can say is this: Are they out of their minds?

Unlike Josh, I’m not sure this is part of Google’s Evil Master Plan, more a case of careless wording. Google’s very own Privacy Policy spells out more proper intent:

Files you create with Google Docs & Spreadsheets may, if you choose, be read, copied, used and redistributed by people you know or, again if you choose, by people you do not know. Information you disclose using the chat function of Google Docs & Spreadsheets may be read, copied, used and redistributed by people participating in the chat. Use care when including sensitive personal information in documents you share or in chat sessions, such as social security numbers, financial account information, home addresses or phone numbers.

It’s all about warning me and you, users, to be careful about protecting our content, which to me would be contrary to the “Evil Plan”. I think in this case Dennis Howlett is right, there are inconsistencies between the legal terms of various Google Services, that’s all:

I leave it to the lawyerly brethern to chew over this lot but as an advisor to business decision makers, I don’t need a lawyer to tell me this is an unholy mess where my rights are unclear and where my privacy is at risk. Unlike Josh, I find it hard to believe Google wants part ownership of my data. It wants to send contextual advertising. To that extent, it needs to analyze and understand what’s going on in the things I commit to GAPE. The conclusion I’ve come to is that like so much that comes out of Google, it is half baked and poorly thought through.

In the above Dennis refers to Google Apps for the Enterprise. Now, Google and other online services are certainly targeted to small businesses, too (some more than others), which will look at usability, convenience, cost, and don’t typically comb through legal documents. This is not very reassuring. In fact it got me outright worried – are my friends at Zoho equally lax about legalities? I’m using their services and never bothered to check the TOS. Ignorant, I know – but you see, I am a Very Small Business.

My worries only lasted 5 minutes, until I found this in Zoho’s Privacy Policy:
